The OS · Training & Competency
Competency you can prove.
Every worker, every required course, every certificate and medical — in one live matrix that warns before anything lapses and gates work when it does. Competency stops being a spreadsheet and becomes a state.
01
The training matrix
One grid: workers down the side, requirements across the top, and a live red-amber-green state in every cell. What’s valid, what’s expiring, what’s missing — at a glance, exportable in one click.
The grid
Every worker, every requirement
A live matrix of workers against required courses with red-amber-green status per cell — updated the moment a certificate changes.
RAG state per worker per course
Updated on every certificate change
Filter by trade and by status
Requirements
Set per trade, not per guess
Required training is configured per trade against a course library with validity periods — a rigger and a first-aider aren’t measured on the same list.

Certificates and medicals that gate
Certificates in SiteActive are not attachments — they are live records with consequences. Expiries warn at 30 days, expired certificates feed the risk score, and a lapsed medical fitness takes a worker off site.
Expiry discipline
Warned before it lapses
Every worker-level certificate — medicals, working at heights, rigging, first aid — is tracked with 30-day expiry warnings.
30-day warnings per certificate
Consequences
Lapses carry weight
Expired certificates feed the site’s risk exposure — and a lapsed medical fitness is a hard demobilisation, not a note in a file.
Expired certs raise risk exposure
Medical fitness lapse demobilises
No discretion at the gate
Health records
The health file, kept properly
Medical surveillance and fitness-to-work records held against the worker, with foreign-national work permits tracked under live alert.
Fitness-to-work records per worker

03
Inductions without the queue
Company-level induction with scored tests, and a project-level QR portal a worker can complete on their own phone — no account, no laptop at the gate, a permanent record either way.
Induction hub
Scored, not signed-for
Company-level induction templates with scored tests — a 70% pass threshold, three attempts, and an admin override that is itself on the record.
Scored tests, 70% threshold
Three attempts, then escalation
Overrides recorded, not quiet
QR portal
Inducted at the gate
Project-level induction runs through a QR code on the worker’s own phone — no account required, attendance captured instantly.
QR access, no worker account
Completed on the worker’s phone
Attendance recorded automatically

Records that hold up
The people layer is built to the same standard as the rest of the system: consent-logged under POPIA, connected to the SHE File, and there as evidence when competency is questioned.
POPIA by design
Consent on the record
Worker records are consent-logged — every consent event captured and enforced at the platform level, not promised in a policy.
Consent captured per worker
Enforced in the platform itself
Aligned to POPIA obligations
Evidence-grade
When competency is questioned
Was this worker trained, inducted, medically fit, on this date? The record answers — because it was kept live, not reconstructed afterwards.
Competency provable per worker per date
